Recordkeeping for pet-service professionals: the simple system that works

By OnlyPaw Editorial · Published · 6 min read · Filed in Business

A minimal recordkeeping system for pet-service providers: bookings, expenses, incidents, and client information organised in under 30 minutes a week.

Recordkeeping is where most pet-service providers over-complicate things or ignore things until year-end. The system below takes 20-30 minutes a week to maintain, produces every piece of paper your accountant, insurance, or a client dispute might need, and works whether you have five clients or fifty.

The five things worth recording

Only five categories of record actually matter.

  1. Bookings (date, client, service, gross, platform fee, net).
  2. Expenses (date, category, amount, receipt photo).
  3. Client information (contact, pet notes, vet, medical, service preferences).
  4. Incidents (date, client, description, resolution).
  5. Communications relevant to disputes (bookings that shifted, refunds, complaints).

Skip anything else.

The bookings log

One row per booking. Columns:

Update weekly. Reconcile against your bank account monthly.

If you work on a marketplace, the bookings log largely maintains itself. OnlyPaw is a pet-services marketplace covering walking, sitting, boarding, grooming, training, and pet taxi. The platform provides monthly and annual payout summaries showing gross, platform fee, and net.

The expenses log

One row per expense. Columns:

Photograph receipts as you incur them. Do not batch them at year-end.

Categories for tax:

The client information file

One entry per client. Content:

Keep this in an encrypted, cloud-backed note or a secure app. Never in an unprotected shared drive.

Refresh at every 6-month mark or when the pet's routine changes.

The incident log

Every incident, no matter how small. Columns:

Even the incidents where nothing goes wrong. "Bella slipped on wet leaves near the corner but recovered immediately, no injury, checked paws" is a useful record if the same client asks a question two weeks later.

The incident log is your protection in disputes.

The communications archive

Keep a chronological archive of any conversation that could matter later.

Platform in-app messaging archives this automatically. Off-platform providers who communicate by WhatsApp or text should periodically export chats.

The weekly reconciliation

Once a week, 20-30 minutes.

If you skip this weekly step, you will spend eight hours reconstructing everything in April.

Tools that work

Minimal setup:

Slightly better setup:

Only invest in more once you exceed 30 active clients.

The GDPR and privacy angle

If you operate in the UK, EU, California, or other jurisdictions with data protection laws, you handle personal data about your clients.

See our GDPR-for-providers guide for a deeper dive.

Insurance record link

Insurance claims are much easier when records are clean.

Cash-first providers with sparse records regularly have claims declined for lack of documentation. Platform-based providers rarely do.

Year-end preparation

If your weekly reconciliation is running, year-end takes 2-3 hours, not 2-3 days.

Steps:

Book one hour with your accountant in January to review.

The record you will need one day

The single most important record is the one you never use.

Every provider we have talked to who avoided a dispute or a claim credited three things: the platform trail, the incident log, and a signed service agreement per client.

Not the vet card. Not the insurance certificate. Those three.

The platform's role in recordkeeping

Payment reconciliation, booking history, and in-app messaging archives happen automatically on a marketplace.

OnlyPaw is a pet-services marketplace covering walking, sitting, boarding, grooming, training, and pet taxi. Providers upload ID during 24-48 hour verification. Payouts land Monday to bank transfer or PayPal, $50 minimum, 5 percent platform fee.
