Why response time matters more than any other metric for pet-service providers, and the templates and system that make 15-minute replies possible.

Response time is the highest-leverage single metric a pet-service provider controls. Owners who send an inquiry are shopping. Two providers who take 15 minutes and one provider who takes 4 hours have a very different chance of winning that booking. The math is unforgiving.

Template 2: Availability partial.

"Hi [Name], thanks for the note. I am fully booked on [date] but I have availability on [alternate dates]. My rate is [rate]. Would any of those work for [pet name]?"

Template 3: Out of zone.

"Hi [Name], thanks for reaching out. Unfortunately [address] is just outside my service area. I would be happy to refer you to [colleague or method]. Best wishes."

Customise the specifics per inquiry. Do not send templates unchanged; they read as bot replies.

Setting up push notifications correctly

Your phone needs to alert you to inquiries the moment they come in.

Split your work hours and personal hours cleanly. If you defined 7am-9pm as business hours in your bio, honour it.

The batching trap

New providers batch inquiries into a "reply session" at the end of the day. This kills conversion.

Bad pattern: check inquiries at 8pm, reply to 6 at once, wonder why bookings are low.

Good pattern: reply to each inquiry within 15 minutes of receipt during business hours.

Batching is efficient for admin. It is disastrous for sales.

If a client goes silent between inquiry and meet-and-greet, follow up once at 48 hours, once at 5 days, and never again.

Follow-up 1 (48 hours):

"Hi [Name], just circling back on your request for [service]. Let me know if you would still like to arrange a meet-and-greet."

Follow-up 2 (5 days):

"Hi [Name], I have not heard back so I am going to close out this inquiry. If you would like to book in the future, just message me and I will make room in the calendar."

Do not chase beyond that.
